All the news and the latest updates made to the ZenShare Suite solutions.

ZenShare Suite solutions are subject to a continuous update process, with cloud service releases (SaaS) planned at least every 6 months.
The following notice periods are provided for ZenShare Suite customers:
a) in the case of minor releases, 3 days
b) in the case of major releases, 30 days

Minor releases are changes that mainly concern bug fixes or the addition of new features.
Major releases are changes that involve a substantial evolution of the service’s features compared to the previous version.

  • Added the BeeFree module, a visual template builder, for sending single emails from lead and contact data sheets.

Documents Register System

  • Added new user permission to allow canceling only your own registrations; ZenDMS sends an email notification to all users who have sorted the document, communicating that the protocol has been canceled and therefore the sorting has been revoked accordingly.

Home page

ZENPURCHASE

The new ZenPurchase module has been released for the management of orders from public bodies of the National Health Service integrated with NSO (Nodo Smistamento Ordini) via the PEPPOL network (Pan-European Public Procurement On-Line).

The new solution, integrated in ZenCRM, is focused on the Order Management process and offers the possibility of managing the entire phase relating to purchase and sales orders in electronic format in an integrated manner, according to the provisions of the new legislation on public procurement .

The module allows you to create a new order (for a private customer or a public body) by entering the header data and selecting the products from the catalogue.

ZenPurchase then generates the XML file on which the compliance check takes place; once the order is confirmed, the system changes its status and forwards it to the NSO, in the case of orders from public bodies. ZenPurchase manages different types of orders and, in the case of the Public Administration, the 3 types provided for Simple, Complete and Pre-agreed: where there are communications between the supplier and the end customer, ZenPurchase archives these communications together with the order itself.

The ZenPurchase module features a DashBoard in which to view the status of all orders received.

Now the pre-existing functionality of generating an offer document in PDF format starting from an opportunity also manages the tags present in the header and footer of the Microsoft Word template.

  • New feature for duplicating a commitment: the form for filling in a new commitment is re-proposed with all the information taken from the previous commitment, except the date and time.
  • New feature for meetings that are yet to be confirmed. If you create a meeting-type appointment and select the To be confirmed flag, the appointment in the agenda is displayed in Red; if the flag is unchecked because the meeting is confirmed, the appointment follows the normal color, i.e. green for the user who created the appointment or dark green/orange for the participants, depending on whether they have accepted/not yet accepted the appointment.
  • Update of the FullCalendar library for managing calendar events, to improve the drag&drop functionality of calendar events.

CAMPAIGNS

  • Differentiated management of campaigns of two alternative types: campaigns for commercial purposes (sending information of an administrative nature) and campaigns for marketing purposes (sending promotional and advertising information).
  • In ZenCRM trackers (preset links for tracking user clicks) it is possible to pass some additional data from the profile of the user who clicks on the tracker.
  • In newsletters in which fields of the type Placeholder are used, in the event that the data in the corresponding fields of the Leads/Contacts data sheet are missing, an obfuscation procedure intervenes in which an empty space is shown in the placeholder.

NEW SCRUM MODULE

The module for managing projects and orders in Scrum mode has been released.
Here are some of the features that characterize this new module:

  • Product Backlog: sorted list of all tasks based on “Business value”, “Story point” estimate and importance;
  • Team and Resources: definition of the team and roles, i.e. Product Owner, Scrum Master and Team Member;
  • Sprint: in this section each team member has the possibility to manage their own tasks for the entire duration of the Sprint;
  • Burndown Chart: graph that highlights the progress of the Sprint allowing you to monitor the velocity of the team.

Users with the “administrator” role see a notice with the following information:

  • A refined system of permissions on single metadata has been added. The administrator can decide to make visible in read-only or to hide certain metadata to specific users or groups.   • It is possible to schedule a process for checking and sending a group of documents to electronic storage in batch mode: the purpose is to allow the management of very high volumes.

In the invoice area, you can now also enter credit notes (with negative amount).

New guest management
If enabled, the advanced management of the Agenda allows for each engagement to add other ZenCRM users among the participants: contacts and leads. For each guest, it is possible to choose whether to send an invitation via email or not.
In each email received, the user will have two actions available in addition to the invitation details: ACCEPT and REJECT.
Each acceptance or refusal by the participants is notified to the author of the engagement. ZenCRM is also able to manage:

  • the cancellation of invitations (with notification to those who had already been invited);
  • the possibility of inserting participants without inviting them immediately, but at a later time.

New task management
Section dedicated to “things to do” with details and due date. These are not real commitments, but activities to be carried out which can however be converted into commitments through a specific function. Completed tasks end up in History (like all completed tasks).

A feature built into Zenshare that allows you to split a PDF document into two documents. More precisely, once the user has identified the pdf to be ‘split’, he simply indicates the range of pages (from page – to page) to identify ‘the division point’. We will have as a result two pdf documents. The new pdf documents created will inherit the same metadata of the original document with the possibility of modification.

ZenCRM integration with Limesurvey. ZenCRM connects directly to LimeSurvey by reading the list of active questionnaires. ZenCRM users can invite leads or contacts to fill out the questionnaire via email. A reminder e-mail and a password recovery function have also been provided, in case the lead or contact has lost the password to access the questionnaire. Through direct access to the Limesurvey database, it is possible to have, in real time, information on the status of the completion of each individual questionnaire and download the completed version in PDF format.
